Job Description

Position Summary:
The Database Manager and Advancement Assistant is responsible for maintaining and managing donor and constituent records in Blackbaud, supporting advancement efforts, and providing reporting and reconciliation support for accounting. This role ensures accurate gift processing, acknowledgment, and financial tracking while assisting with alumni engagement and memorial fund management.

This position is a year around position working up to 20 hour per week. 

Key Responsibilities:

  • Database Management (Blackbaud):
    • Process and enter gifts (checks, credit cards, ACH).
    • Prepare receipts and thank-you letters for donor recognition.
    • Run financial postings to Financial Edge.
    • Set up new Funds, Appeals, and Packages with appropriate G/L distribution.
    • Maintain constituent records, including updates for parents, seniors, deaths, and address changes.
  • Alumni & Advancement Support:
    • Assist with class reunions by preparing lists, labels, and updates.
    • Generate lists for Connections Magazine.
  • Financial Reporting & Memorial Fund:
    • Prepare reports for accounting, including Month-End Year-To-Date reports and 990 reporting lists.
    • Manage the Memorial Fund by entering, receipting, and acknowledging gifts.

Job Requirements

Qualifications & Skills:

  • High level of integrity and confidentiality.
  • Proficiency in Microsoft Word, Excel, PowerSchool, and database management (Blackbaud preferred).
  • Strong organizational skills and the ability to prioritize tasks effectively.
  • Ability to work independently with minimal supervision.
  • Excellent interpersonal and communication skills.
